Buying an AI support platform is closer to buying a customer data system than buying a novelty chat widget. RFPs should stress retrieval architecture, channel depth, automation safety, governance, and API quality—not only model benchmarks. Retrieval and knowledge architecture

Require a live demo with your documents, not a canned script. If a vendor skips ingestion in the POC, expect hallucinations later.

Ask how chunking, re-embedding, and de-duplication work across uploads, connectors, and crawls.

Verify scoped bases per agent and per brand.

Channels and customer journeys

Map current and next-quarter surfaces: web, email, Slack, WhatsApp. Confirm plan gates honestly.

Test mobile experiences if a large share of volume is phones.

Ensure hosted options exist if embed work is blocked.

Automations and integrations

Validate outbound webhooks, Slack notifications, and ticket creation paths you need on day one.

Inspect retry semantics and failure UX.

Confirm whether the same automation engine powers multiple agent types you plan to run.

Governance, security, and APIs

Review roles, retention, export, SSO, and BYOK paths against your security questionnaire.

Read API docs for streaming, auth, and rate limits; try them in a sandbox.

Ask for reference customers with similar compliance posture.

Vendor partnership signals

Judge roadmap transparency and migration assistance, not only list price.

Check professional services depth if you lack in-house ML engineers—you should not need them for baseline launches.

Plan a 90-day success review before annual commit if possible.
